Telehealth

Please log in 5-10 minutes prior to appointment time to make sure your computer or phone is charged, has a good internet connection, and audio and video are working.

The telehealth link will be in your appointment confirmation, but if you're not logged in, we'll send another reminder with the link, so don't stress.

Make sure you are in a private area of your home or office so that you feel free to talk openly.

Medication Refills

We try to ensure that you have enough medication to get to your next visit. 

If you run out of medication before your appointment:

  1. Check the bottle for refills.
  2. Check with the pharmacy to see if there is a new prescription on file.
  3. Send a portal message or leave us a voicemail. Make sure to leave the medication name, dose, and pharmacy.

Please allow 48 hours for refill requests.

Forms

A client must have completed a minimum of 3 visits for STD or FMLA forms to be completed. The provider will only complete these forms if it is determined to be appropriate to do so. We cannot guarantee that short-term disability or FMLA will be approved.

Blank forms will not be accepted:  At a minimum, the client’s name and date of birth should be filled out on the form prior to submission.

Forms can take up to 3 weeks to complete and there is charged at a rate of $50 per 15 minutes.

 

Canceling/ Rescheduling

Clients can cancel or reschedule an appointment anytime if they provide 24 business hours' notice. If you cancel an appointment with less than 24 business hours, it is unlikely we will be able to fill the slot, and you will be charged $150 for an initial appointment and $50 for a follow up appointment.

Failure to Show

 

Appointment times are reserved exclusively for you. We reserve for you a full hour of our time for initial sessions and 30 minutes for follow up sessions. If a client fails to show, we are unable to fill that time slot, and we lose that time from our work schedule. No show fees are $150 for initial evaluations and $50 for follow ups.

 

Payment

 

For patients paying with insurance, copays are due at time of visit.  For private pay patients, the full cost is due at the time of the visit. We can generate a superbill for out of network clients who want to pay out of pocket at the time of visit, and submit to their insurance for reimbursement.

Every client must have a credit card on file.

ADHD Evaluations

ADHD is a complex diagnosis to make. Symptoms of inattention can also be the result of depression, anxiety, stress, trauma, or a physical health issue. In addition to our initial evaluation, we require neuropsych testing completed by a licensed psychologist. We do not accept reports from online providers.

You can find a local psychologist on your insurance company's website, on PsychologyToday.com, or we can provide some names of local offices.

Controlled Substance Policy

The purpose of this policy is to ensure the responsible, ethical, and legal prescribing and management of controlled substances in the treatment of psychiatric disorders. This policy aligns with federal regulations, Pennsylvania state law, and standards of care in psychiatry.

Scope:

This policy applies to all prescribers, clinical staff, and patients of Spotlight Psychiatry involved in the prescribing of Schedule II–V controlled substances.

General Policy:

All prescribing decisions will be based on the principles of safety, necessity, and risk-benefit analysis, in accordance with evidence-based guidelines, and only after an in-person, comprehensive psychiatric evaluation and review of the Pennsylvania Prescription Drug Monitoring Program (PA PDMP) website.

Treatment Plan:

Controlled substances will be integrated into a broader treatment plan, which may include psychotherapy, lifestyle modifications, and non-controlled pharmacologic agents.

Monitoring and Compliance:

Urine Drug Screening may be required periodically for patients prescribed benzodiazepines, stimulants, or other high-risk substances.

PDMP website will be monitored frequently during treatment.

Follow-up Visits:

Patients prescribed controlled substances must attend regular follow-up visits (typically every 30-60 days, depending on clinical needs and risk level).

Refill Requests:

No early refills will be given.

Lost, stolen, or destroyed medications will not be replaced.

Grounds for Discontinuation of Controlled Substances

  • Controlled substances may be tapered or discontinued for the following reasons:
  • Evidence of misuse, abuse, or diversion.
  • Failure to comply with treatment recommendations or monitoring procedures.
  • Non-attendance of scheduled appointments.
  • Adverse effects outweighing therapeutic benefits.
  • Patient dishonesty regarding substance use.
